Finding the right person in your organization should be fast, precise, and tailored to how your teams actually operate. That’s why we’re excited to introduce Smart Categories, a powerful new addition to TeamDirectory’s Categories feature.
Unlike basic, single attribute categories, Smart Categories let you apply dynamic, logic-based filters that reflect your unique organizational structure.
Whether you need to identify managers in a specific region or team leads with specialized expertise, Smart Categories give you the flexibility to segment your directory in meaningful, actionable ways.
Every organization is different. With Smart Categories, you have the tools to customize your directory so it evolves with your teams.
Use logic-based filters (Field, Operator, Value) to automatically group employees.
Categories update dynamically with Microsoft Entra ID, keeping your data live and accurate.
Create targeted views for onboarding, communications, team coordination, and more.
Creating a Smart Category is simple
1. Navigate to the Categories tab within TeamDirectory’s setting.
2. Add a new category.
3. Enter a name for your new category.
4. Enable Smart Category.
5. Add either a ‘AND’ or ‘OR’ logic expression, use the ‘+’ and ‘Add an expression buttons respectively. Then define your rule using:
Field name (e.g. Department)
Operator (e.g. Equals, Contains)
Value (e.g. Marketing)
6. Enable Smart Category.
7. Click Save.
That’s it, TeamDirectory will handle the rest, automatically grouping matching users and updating as your directory changes.
How you could use Smart Categories
You're planning a strategy session for your European Sales Leadership team and need a live, filterable list of all Sales Managers in the EMEA region.
You could set up your Smart Category like this:
Field: Department
Operator: Equals
Value: Sales
Field: Office Location
Operator: Equals
Value: EMEA
Field: Seniority
Operator: Contains
Value: Manager
This Smart Category instantly creates a group of all relevant leaders, so you can message them, set up meetings, or review org structure, without chasing outdated spreadsheets or manual lists.
